The Office Manager for the Arts Council of Oklahoma City is charged with regulating and performing all clerical and secretarial functions of the Arts Council. The Office Manager works closely with the Executive Director and the Arts Council staff to ensure the basic office tasks are effectively handled with professionalism in a timely manner.
Duties
· Answer and direct incoming calls to staff, voice mail, and/or take messages.
· Refer calls to other agencies in the Oklahoma City area.
· Assist staff members, artists, performers, volunteers, and the general public.
· Greet visitors, offer hospitality and any other assistance they require.
· Process mail, including transferring more monies to postage machine,
· Responsible for the operation and maintenance of all office machines. (fax, computers, postage, copier, water) Includes calling service personnel if necessary.
· Provide the Financial Officer with monthly reports on postage, and copier usage.
· Maintain budget account on office supplies purchases.
· Assist Executive Director, Communications Director and Development Director in all aspects of efficient operation of Arts Council.
· Assist members of the staff with basic duties.
· Basic clerical duties - correspondence, data entry, proofing, mailing, maintaining files.
· Maintain Staff Information List and Birthday List.
· Coordination and scheduling of conference rooms in the Arts Council and McAlpine buildings, and scheduling security for meetings after hours and on weekends at McAlpine Center for outside organizations. Provide set up forms and contracts to potential renters.
· Make up all deposits for Arts Council Management and Arts Council General banking accounts.
· Act as a staff liaison to various committees in all Arts Council projects.
· Assisting with all Arts Council events in whatever capacity needed.

Education

Americorps Full-Time Position
The Arts Council of Oklahoma City is looking for a full-time Americorps member to assist with its arts education and outreach programs as part of the Community Arts Program (CAP). The Arts Council of Oklahoma City is a 44-year-old private nonprofit organization whose mission is bringing the arts and community together through events, services, and educational programs. This position will provide assistance and support to the various arts education programs of the Arts Council of Oklahoma City.
Duties
· Assist Community Arts Program Director as needed to coordination of arts education projects;
· Supervise the Arts Council’s Teen Advisory Council;
· Perform regular visits to each of the participating program sites, which may include: libraries, Parks and Recreation Centers, YMCAs, public schools, faith-based organizations, and local childcare facilities for the purpose of ongoing evaluation;
· Maintain communication with teaching artists, site staff, and Arts Council staff in order to assure the success of these projects;
· Maintain current database and program records;
· Assist volunteer committees with planning youth-directed arts activities at large community events such as Opening Night and the Festival of the Arts;
· Other duties as required to ensure the success of Community Arts Program;
· Some evenings and weekends required.

Ideally, the applicant should be available starting September 1. Deadline for applications will be August 13. Enrollment in a full-time term of service with Americorps is a one year commitment. The Americorps member receive a living allowance of approximately $19,000. Upon completion of 1700 hours of service, the Americorps member may also be eligible for a one-time education award of $4725, to be used only towards student loans or other education costs. Community Arts Summer Internship

The Arts Council of Oklahoma City, a private non-profit corporation, is currently recruiting for intern positions in the assistance and implementation the Arts After School Program 2009-2010. This is a non-paid program. Academic approval for course credit for internship is negotiable.
Internship Description
A student seeking a degree in art, education, or arts education would be ideal for the teaching artist internship. The intern will follow an Arts Council of Oklahoma City teaching artist for one semester, assisting in the planning and implementation of an Arts After School class. The intern is required 4 hours per week with the teaching artists. Duties may include but are not limited to: supply gathering, assisting with youth ages 4-12, assisting with set up and cleaning, assisting with instructing and possibly planning. Intern must be flexible, patient, organized, and have some experience working with children. The intern will learn developmentally suitable activities for different age groups as well as planning lessons and various methods of instructing classes. Since students will be working with youth, an OSBI background check is required.

Student Internships
The Arts Council of Oklahoma City, a private non-profit corporation, is currently recruiting for intern positions in the assistance and implementation of projects and programs for 2009-2010. This is a non-paid program. Academic approval for course credit for internship is negotiable.
The Internship
The qualified intern provides administrative support and clerical services to the Arts Council of Oklahoma City, assisting in areas such as Events, Public Relations, and Development.
The intern will assist in the planning, implementation, and execution of the Arts Council of Oklahoma City events: Opening Night, Oklahoma City Storytelling Festival, Sunday Twilight Concert Series and Festival of the Arts. The intern will also assist with the Plaza Artist Jury, which is responsible for the selection of the festival’s artists.
The intern will assist in public relations, writing press releases, updating the website, taking photographs, creating media credentials and press kits, tracking press clippings and editing print pieces.
The intern will work in fund-raising for the Arts Council of Oklahoma City, with opportunities to assist in grant proposal and report writing, and prospect research. Duties may include data processing of donor gifts and acknowledgments and preparation of direct mail solicitations.
Ample opportunity for meeting many of Oklahoma City’s business and cultural leaders is also available with this internship.
General Information
Since Arts Council Interns will assist with volunteer and meeting organization, mass mailings, and updating and maintaining database records, good organizational skills are required. Self-motivation and the capability of organizing the workload within an established system and time frame are extremely important. Experience in dealing with the public, good communication skills, and interpersonal "people management" skills are preferred. Business hours at the Arts Council are 9A.M. to 5P.M. The hours required for the internship are 8-10 hours per week, but hours are flexible depending on the intern’s school schedule.
